Policy Version Control

Policies have versioning: Draft (editing), Published (active), Archived (old). All changes tracked with author, date, and approval.

Version Lifecycle

Draft → Review → Published (effective) → Archived (superseded)

Example timeline:

v2.1 (Published, Current)
Effective: Mar 15, 2025
Author: Sarah Chen
Changes from v2.0: Increased token timeout from 1hr to 2hr
Approver: John (CISO)
v2.0 (Archived)
Effective: Jan 1, 2025
Author: Jane Smith
Changes: Added new monitoring requirements
v1.9 (Archived)
Effective: Aug 1, 2024
Author: Bob Johnson

Creating New Version

  1. Open current published policy
  2. Click Create New Version
  3. Edit content
  4. Summarize changes (required for audit trail)
  5. Submit for review
  6. Approver reviews and approves
  7. Set effective date
  8. Click Publish

Previous version automatically archived.

Change History

View all policy versions:

  1. CompliancePolicies → [Policy]
  2. Click History tab
  3. See all versions with:
    • Effective dates
    • Authors
    • Change summaries
    • Approval status
  4. Click version to view full text

Comparing Versions

See exactly what changed:

  1. Click History
  2. Select two versions to compare
  3. View diff highlighting changes

Publishing Requirements

Cannot publish without:

  • ✓ Change summary completed
  • ✓ Reviewer approval
  • ✓ Effective date set
  • ✓ No syntax errors

Rollback

Revert to previous version if needed:

  1. History → Find version
  2. Click Rollback
  3. Creates new version with previous content
  4. Requires approval to publish

Example use: “v2.1 had a typo, rollback to v2.0”
